Keep one opportunity story through the whole cycle
Prospecting begins with a hypothesis. Discovery tests it with a buyer. Closing requires a mutually understood decision and approval process. If each team starts again with a blank record, your buyer has to repeat information and your forecast loses its basis.
Specify what travels between stages: source facts, the buyer's own problem statement, stakeholders, evaluation criteria, agreed actions and unresolved risks. A seller may lead commercial discussion while your product expert answers implementation questions. Neither role should promise a roadmap item or discount outside its authority merely to make a deal appear close.

Work through the decision
Illustrative example: an outbound contact replies that manual entitlement changes delay launches. The prospecting record links the company's product documentation and labels the delay as a hypothesis. In discovery, an engineering manager confirms the issue affects three product teams but says finance owns the budget.
The seller records the confirmed problem separately from the original research and invites finance to a scoped discussion. A technical colleague checks integration feasibility. The closer now has a real buying process to manage. Skipping these steps and immediately sending a price quote creates a proposal, not an accepted opportunity.
No one owns the gap between a reply and a deal
Ask who follows up after a rescheduled discovery call and who notices when the next buyer action is overdue. If those questions have no named answer, more outbound volume will produce more abandoned conversations. A shared inbox alone does not establish commercial ownership.
A concrete next step
Trace one recent positive reply to its latest buyer action. Write down each owner and missing piece of evidence. Use that trace as the acceptance test for a connected prospecting-to-closing scope.
