Organize the room around committee questions
Start with the buyer's current decision and who needs to review it. Link only materials that answer a relevant question. Identify the version and owner of scope, technical answers and commercial terms. Keep assumptions visible so the committee can correct them.
Use sensible access, retention and export arrangements. A public landing page and a private buyer room serve different purposes. Do not place sensitive customer evidence, personal data or unpublished pricing into a publicly indexed room. The team should know who can update materials and how stale versions are removed.

Work through the decision
Illustrative room: a short summary explains the access-management project, with a scoped integration plan and a buyer-validated workload model. Engineering sees technical criteria; finance sees assumptions; security sees approved materials. The mutual plan names what is still unresolved.
Do not publish a guessed ROI as a conclusion or upload a confidential reference call. If a participant needs another material, add the relevant answer and owner. The room's value comes from clarity and continuity, not the quantity of assets.
The room becomes a public repository of sensitive deal details
Use access controls appropriate to the information and confirm sharing permissions. Keep public educational content separate from buyer-specific commercial records. Search discoverability is desirable for articles, not confidential negotiations.
A concrete next step
Create a minimal room outline for one active deal and ask two participants whether they can find the next decision and its evidence. Remove assets that add noise.
