Evaluate the system's life after the builder leaves
Ask for an asset inventory and a normal/failed workflow demonstration. The client should have administration, vendor contacts, exports and recovery routes. Agency access should be revocable without disabling undocumented services.
Connect infrastructure to the buying process. CRM objects and routing should support account evidence, reply handling, qualification and progression rather than replicate a generic dashboard. A beautiful interface can still conceal unclear stage meanings or unowned failures. Evaluate the operating decisions it supports.
| Decision | Evidence to use | What changes next |
|---|---|---|
| Client control | Administration, billing ownership and access recovery | The company can operate without agency credentials |
| Documented meaning | Objects, fields, workflow logic and dependencies | New operators can interpret the records |
| Demonstrated continuity | Export, routine task and controlled failure recovery | Handover proves capability instead of file delivery |
Work through the decision
Illustrative acceptance test: an internal administrator exports a small cohort, confirms source and suppression fields, routes a test reply and resolves a missing-owner error using the guide. Then a seller uses the record to plan a discovery action.
These tests inspect both technical continuity and commercial meaning. If the system only works when the agency builder explains it live, the handover needs repair. Complete the tests while that person remains available to coach and correct the documentation.
The infrastructure serves the agency's report rather than the client
A workflow can optimize monthly totals while leaving sellers with poor context. Ask internal operators to complete real tasks. Their ability to act is a stronger acceptance signal than a polished reporting screenshot.
A concrete next step
Request an infrastructure acceptance plan before build work starts. Include one seller task and one administrator recovery task so technical and commercial continuity are both tested.
